About HARO & Outreach Guidelines
- HARO (Help A Reporter Out) provides journalists with a robust database of sources for upcoming stories and daily opportunities for sources to secure valuable media coverage.
- Venta Marketing has registered as a source that provides HARO queries with information about our client’s areas of expertise.
- HARO deploys automated emails three times a day with their query requests (Morning, Afternoon, and Evening) and there is usually 1-5 queries that we can submit to on your client’s behalf.
Our Goal
- Get more exposure for our clients through legitimate news or media and follow links.
Instructions
Step 1: Sign up for HARO and select all topic fields for daily updates.

Step 2: Review daily queries (3 times a day) and respond with individual client templates.
TIP: Create a folder for HARO emails in Gmail. When the daily batch of emails are sent, star the Morning, Afternoon, and Evening Additions and move them all to the folder so you can navigate through the batch more easily.

Step 3: Making The Template – Customize your email with the following template and save it in your Notes app for convenience. Each template can be unique to the client and their area of expertise.
Hello [name],
My client [name] would be happy to be included in your article. [client name] is a [client bio] with over [# of years in their industry] + [website link]. [Client name] also specializes in [pitch specific fact/detail/experience].
Here are the answers to your queries, please let me know if you need any further information, case studies, or insight from [my client].

Step 4: Sending Pitches – Once the queries have been reviewed you can submit your pitches via email. Click on the query that sounds most appropriate for the client to see the details, open a new email window, and copy and paste the query email address in the To bar. Title your email “HARO PITCH: ” and then copy and paste the query title from the details (ex/ HARO PITCH: Best Foods To Avoid Cancer”
Step 5: Copy and paste the completed, custom response to the query and make sure that everything is formatted and linked correctly before sending.
